Role Summary

The Medical Concierge Specialist (MCP) is the first, warm touchpoint for our clients. You’ll guide patients through onboarding and appointments, coordinate with providers, and ensure a seamless, supportive experience from first contact to follow-up—reflecting our compassionate, integrative model of care. What You’ll Do

  • Welcome, screen, and onboard new clients; gather intake details with empathy and accuracy.

  • Coordinate virtual appointments (scheduling, confirmations, reminders, follow-ups).

  • Communicate clearly via email, phone, and chat; escalate clinical questions promptly.

  • Help patients navigate forms, documentation, and portal access; maintain HIPAA-grade confidentiality.

  • Track visit readiness (ID, consent, coverage info) and support billing questions by triaging to the right team.

  • Identify barriers (tech, access, language) and resolve them quickly so care is never delayed.

  • Document interactions precisely; keep CRM/EHR notes organized and up to date.

  • Partner with clinicians to ensure personalized, whole-person care is delivered consistently. (PsychoCare)

What You’ll Bring

  • 1–3+ years in patient access, care coordination, medical front office, or concierge support (behavioral health a plus).

  • Excellent written and verbal communication; calm under pressure; kind and resourceful.

  • Tech-confident (EHR/EMR, calendars, video platforms, secure messaging).

  • Meticulous documentation and follow-through; privacy-first mindset.

  • Availability for patient-friendly hours and reliable internet for virtual work.

1) Application Stage (this form)

What to submit here (all required):

  • Contact & Profile: Full name, email, phone, location/time zone.

  • Cover Letter: Type directly in the form (no upload).

  • Availability: Typical weekly availability and soonest start date.

Pro tips (show on form as helper text):

  • Keep your resume concise (1–2 pages).

  • Use your cover letter to show client empathy, communication style, and problem-solving.

2) Written Stage (6 questions)

You’ll see 6 short-answer prompts inside the form.

  • Aim for 100–150 words each (bullet points are okay).

  • Focus on: patient empathy, confidentiality, prioritization, clear communication, and handling tech hiccups in virtual care.

  • Write in your own words—authenticity over perfection.

Note: Answer all questions in the application. Please answer each in 100–150 words.

3) Video Stage (4 short videos, separate uploads)

Record and upload one video per question (4 total).

  • Max length: 2 minutes per video (hard limit).

  • Formats: MP4 or MOV (portrait or landscape is fine).

  • Audio & Lighting: Quiet space, stable phone or webcam, speak clearly, face well-lit.

  • File names: Lastname_Firstname_Q1.mp4, … Q4.mp4.

  • No editing required—authentic, single-take is best.

Video Prompts (show each above its upload field):

  1. Warmth & Rapport: Describe how you greet and orient a first-time client who’s anxious about a virtual visit.

  2. Problem-Solving: A client can’t join their video session and is frustrated. Walk through your step-by-step troubleshooting.

  3. Prioritization: You have three urgent requests at once. Explain how you triage and communicate updates.

  4. Whole-Person Care: Share what “holistic, judgment-free care” means to you in a concierge role.
